Plan Your Conference

The 2012 SRHE Annual Research Conference runs over 3 full days, 12-14 December at the Celtic Manor Resort. There is a very busy programme with 12 parallel presentation sessions and we hope the following information will help you plan your conference effectively and take full advantage of all the events and opportunities on offer to delegates. The sessions run through to lunchtime on Friday 14th December and we respectfully ask all delegates to make travel arrangements accordingly and not to leave the conference early.

Conference Location
All conference events will be held at the Celtic Manor Resort, Newport Cardiff and all residential delegates are accommodated in the Resort.

Conference Registration
Conference Registration is in the main Foyer when you arrive at the hotel. After registration on Day 1, Wednesday 14th December this Registration Desk will close and any late arrivals or Day delegates arriving after 4.00pm on Day 1 should register at the Conference Information Desk located out side the Caernarfon Suite on Convention Level C1.

Hotel Check In
On arrival all delegates should check in at the main hotel reception. Where rooms are available delegates will be able to go straight to their rooms. Where rooms are not ready for occupation immediately luggage should be left with the concierge and delegates will be given a time from which keys are available for collection.

Plenary Rooms
The main plenary room is the Caernarfon Suite situated on Convention Level C1. On the same level is the Caernarfon Foyer and this is where all tea/coffee breaks and all lunches will be served in the breaks.

Breakout Rooms
All the breakout rooms (other than the Caernarfon Suite itself) for paper presentations in the parallel sessions are on Convention Level C2.

Conference Materials
On registration you will receive a Conference Programme and Book of Abstracts. This contains all programme information on the scheduling of plenaries and paper presentations plus details of all authors and their abstracts for the full 3 days of conference. In the delegate packs you will also have a detailed Conference Timetable of all events showing the room locations for every conference event and presentation session. This is kept separate from the programme so that it can take account of any last minute changes. You should aim to have this timetable with you throughout the conference as this will be a key document in locating sessions and finding your way around. Also included in delegate packs is a Floor Plan of breakout rooms. The items in bold are the materials you should aim to have with you each day to navigate your way around the various events and twelve parallel sessions.

Paper Presentations (symposia, individual papers, discussion workshops)
There are a total of 12 parallel sessions running at any one time for the presentation of papers and the different types of presentations are clearly indicated on the Conference Timetable sheets.

Conference Meals
The conference delegate packages include breakfast & lunch on all days and dinner on Wednesday 12th December. The Conference Gala dinner on Thursday 13th December is an additional event and tickets are £42 a head for an excellent three course meal with wine. For delegates who have not pre-booked the Gala Dinner tickets can be purchased in advance from srheoffice@srhe.ac.uk and can also be purchased from the Conference Information Desk during the conference. Delegates not attending the Conference dinner are entitled to a meal in the Olive Tree Restaurant in the Lobby level of the Resort as part of the conference package.

Dinner for Residential Delegates
Wednesday 14 December 2012 Dinner for Residential Delegates 19.00-21.30. The resort has a number of different restaurants and on the Wednesday evening delegates may take dinner at one of four excellent restaurants, The Olive Tree and the Patio in the hotel itself and the Rafters and the Lodge situated in the resort grounds with transport provided in hotel shuttle coaches which run continuously. Delegates wishing to get a preferred time or location for dinner are encouraged to pre book at www.celtic-manor.com/Restaurants_and_Bars.aspx.

Otherwise reservations should be made on arrival. Delegates booking individually or for groups of less than four will have the opportunity to be seated with other SRHE conference delegates. Each restaurant will offer a SRHE Conference menu for delegates to choose from. Delegates will be responsible for any drinks ordered.

If Non-residential delegates wish to have a meal at the Resort on this night, please email srheconferenceteam@srhe.ac.uk  in advance. The cost is £30 for a two course meal.
